Introduction
This explains what Utilities stores, why it needs it, how long we keep it and how you can delete it. If something here isn't clear, ask us in the support server.
What we store
Only what the bot needs to work in your server:
- Server details. The server's ID, its owner's ID, its name, member, channel and role counts, and your prefix.
- Tickets. Channel IDs, who opened each ticket, whether it's claimed or closed, your panel settings, and blacklisted user and role IDs.
- Transactions. The amount, the details you enter, the member it belongs to, who logged it and when, plus your spending role and statistic channel settings.
- Things you build. Embeds, buttons, autoresponders and panels.
- Server features. Welcome, leave and boost messages, ghost ping and auto-react settings, join roles, and the bot's custom appearance.
- GitHub updates. Which repositories your server watches, the channel each one posts in, and the commits in the newest update.
- Premium. Which server claimed a key, who activated it, and when it expires.
Message content
The bot reads messages so the features you've set up can work, and in almost every case it doesn't keep them. A prefix command or an autoresponder trigger is checked against your settings and then thrown away straight after. Nothing is written down.
Snipe commands are the one exception, because a deleted message can only be shown if it was kept first. Recently deleted messages, the earlier text of edited messages and removed reactions are held for up to two hours, with at most 19 per channel, and then expire on their own. They live in a temporary cache, never in our database or a backup, and a server admin can clear a channel's entries at any time with clearsnipe.
Ticket transcripts
When a staff member generates a transcript, the conversation is turned into a file and posted in the log channel you chose, inside your own server.
That file is the only copy. A transcript link opens it straight from Discord each time, so this website keeps nothing: the link works for about a day, and deleting the message in your log channel deletes the transcript. This only ever applies to ticket channels, and only when someone asks for a transcript.
GitHub
Watching a public repository needs nothing from you. The bot asks GitHub for its newest commits and posts who pushed, the commit titles and the names of the files that changed.
A private repository needs you to connect a GitHub account. The bot can read only the repositories you chose on GitHub, and it uses them only to post those updates. It doesn't store your code, and we never see your GitHub password.
Connecting is kept for an hour, as your Discord user ID and the repository you connected, and then deleted. If the bot can no longer read a private repository, it stops watching it and deletes what it stored about it.
What we don't do
- We don't store IP addresses or other sensitive personal information.
- We don't sell, rent or share your data.
- We don't use your data, including message content, to train AI or machine learning models.
Other services
A few commands, like social media and Roblox lookups, have to ask another service for the answer, so the search you typed is sent to that service. GitHub updates ask GitHub about the repositories your server watches. Apart from that, nothing is shared with anyone unless the law requires it.
Who can see it
Only the owner of Utilities has access to stored data. It's kept in an online database that our hosting provider encrypts at rest.
How long we keep it
Your server's settings and records are kept for as long as the bot is in your server, because that's what the bot reads to work. Message content is the exception, covered above.
If the bot leaves your server, everything that belongs to that server is deleted automatically after 120 days. That delay is on purpose: an accidental kick or a permissions mistake shouldn't wipe out your panels and settings, and if you add the bot back within four months, everything is still there. If you'd rather it was gone sooner, just ask.
Deleting your data
Run /server wipe to delete some or most of what's stored for your server. For a full deletion, open a ticket in our support server.
This website
This website doesn't use cookies, analytics or trackers, and everything on it, fonts included, is served from our own domain. It's hosted on Cloudflare, which handles basic request data like IP addresses to deliver and protect the site.
The one exception is the embed builder at /embeds. To show emoji the way Discord does, it loads emoji images from jsDelivr and Discord, and any image link you type into it loads from wherever that image is hosted. Nothing you type is sent to us; your embed is saved only in your own browser.
Children
Utilities isn't meant for anyone under 13, or under the minimum age to use Discord where you live.
Changes to this policy
We'll update this policy when the bot changes what it stores, and the date at the top shows when it last did. If you keep using the bot after a change, you accept the new version.
